Privacy notice
Last updated: 30 September 2026
Genesis Trust is an international business advisory and support service. This notice explains how personal information is handled in connection with the website, enquiries and the coordination of services. References to “we”, “us” and “our” refer to the operation of the Genesis Trust service.
1. Scope
This notice applies to visitors, prospective clients, clients and individuals acting for a business. It concerns personal information, including information about company representatives and beneficial owners. It does not replace the terms agreed for a particular service or the privacy information provided by an institution that handles data in its own capacity.
2. Information and sources
For an enquiry, we use the contact details, preferred communication method, service selection and other information you provide. Subsequent discussions can involve company details, ownership and representative information, transaction details and documents relevant to the requested service. Documents are requested only where needed for the particular task; the website enquiry form is not a channel for submitting identity documents or sensitive financial material.
Information can also come from an authorised representative, a service provider involved in your request, or official company registers used to verify business information. Where required, we identify an additional source and provide the relevant privacy information when its information is first used or disclosed.
Technical records can include an IP address, browser and device information, access times, pages requested and security events. When a personal invitation is used, the relevant records include the invitation reference, email, selected region, issued result and information needed to verify repeat access.
3. Purposes and grounds
We use enquiry information to respond, assess the task, identify suitable options and discuss a proposed engagement. Where you are personally a party to a proposed or existing contract, processing necessary for those steps is based on that contractual relationship. Business contact and representative information is used for our legitimate interest in handling business enquiries and coordinating services, where that basis is available and is not overridden by individual rights.
For an agreed service, relevant information is used to arrange the work, communicate with the participants, manage documents and keep records of instructions and performance. Processing is based on the relevant contractual steps, legitimate business administration interests or a legal obligation, depending on the activity and the person concerned.
Security records and invitation information are used to prevent abuse, verify access, maintain continuity and investigate incidents. Relevant correspondence and transaction records can also be used to establish, exercise or defend legal claims. These activities rely on the applicable legal obligation or our legitimate interests in security, record keeping and protection of rights. Where an activity requires consent, we obtain it separately; sending an enquiry is not consent to unrelated use of information.
4. Access and disclosure
Access is limited to those who need the information for the purposes above. Depending on the requested service, recipients include personnel handling the matter; hosting, communications, storage and security providers; company formation and registered office providers; banks and payment institutions; professional advisers; and competent authorities where disclosure is required or otherwise lawful.
We disclose information relevant to the recipient’s role and the particular task. Providers acting on our instructions are subject to appropriate processing and confidentiality arrangements. Banks, professional advisers and other institutions that determine their own processing purposes apply their own privacy terms and responsibilities. Their involvement does not remove our responsibilities for our own handling of information.
5. International processing
An international engagement can involve recipients and processing locations in the countries connected with the requested service or the supporting technology. Where applicable law restricts a transfer, it must be supported by a permitted transfer mechanism, such as a recognised adequacy decision or appropriate contractual safeguards. Information about the safeguards relevant to a transfer, including how to obtain a copy where applicable, is available through the privacy contact below. Additional disclosures or consent are provided or obtained before a transfer where required.
6. Retention
Retention depends on the purpose and category of the record. Enquiry records are kept while the matter remains active and for a proportionate follow-up period determined by its outcome and any reasonably anticipated dispute. Engagement and transaction records are retained for the applicable contractual, accounting and legal record-keeping periods. Records relevant to an actual or reasonably anticipated claim can be retained until that matter and the associated retention requirements are resolved.
Invitation records are retained for access verification, repeat use and prevention of duplicate activation. Security logs are kept for the period needed to detect and investigate relevant incidents. Backup copies are removed through the applicable rotation cycle and are not used to resume routine use of information scheduled for deletion. Once there is no remaining justified purpose or retention requirement, information is deleted or irreversibly anonymised. We do not retain records indefinitely merely because storage is available.
7. Technical tools and security
Cookies, browser storage and similar tools used for essential functions support access, preferences, continuity and protection against abuse. If optional analytics or advertising tools are introduced, their purposes and relevant settings are disclosed and consent is obtained before use where required. Controls for withdrawing that consent accompany those tools.
We apply organisational and technical measures appropriate to the information and processing risks, including access controls and restrictions on disclosure. No method of internet transmission or electronic storage can be guaranteed to be entirely secure; this does not exclude duties imposed by applicable law.
Automated invitation and anti-abuse checks support the website’s functions. An invitation result is not a decision on company registration, account eligibility or execution of a payment.
8. Information supplied for a task
Provide information relevant to your enquiry and reasonably accurate in the circumstances. If you act for another person, you must have the authority or other lawful basis needed to provide their information. Missing information needed to contact you, verify instructions or assess a requested service can prevent us from progressing the task. An enquiry does not itself establish an engagement or guarantee any service outcome.
9. Rights and requests
Depending on applicable law and the processing concerned, you may have rights of access, correction, deletion, restriction and portability, and a right to complain to the competent data protection authority. Where processing relies on consent, you can withdraw it without affecting the lawfulness of earlier processing.
Where applicable law provides a right to object, you may object to processing based on legitimate interests. Any right to object to direct marketing remains unaffected.
Requests are assessed under the conditions, exceptions and time limits set by applicable law. Deletion or restriction does not necessarily extend to records that must be kept for a legal obligation or the establishment, exercise or defence of a claim. Where there are reasonable doubts about identity or authority, we can request information proportionate to resolving those doubts. A particular subject line or form is not required, and this notice does not limit mandatory rights or remedies.
10. Changes and contact
This notice can be updated as services or processing arrangements change. The version date is shown above. Where required, material changes are communicated before the new processing begins and any necessary consent is obtained. Publication of an update does not itself authorise incompatible use of information already collected.
